This policy explains what personal data Wafiugarden collects, why we collect it, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who we are

Wafiugarden (www.wafiugarden.com) is a small, non-commercial anime and cosplay fan community run by an individual in the UK.

2. What we collect

Member accounts and profiles: Email address, password (stored securely by Wix, we never see it), display name, and anything you choose to add to your profile, such as a photo, bio or social links

Member gardens, groups, posts and comments: What you post: text, images, cosplay and art photos, comments, reactions, and when you posted

Events: Name, email, the event you registered for, answers to any registration questions, and attendance status

Forms (including the contact form): Name, email, your message and any other details you fill in

Donations: Name, email, amount, date and any message you leave. Card details are handled by the payment provider. We never see or store your full card number.

Technical and usage data: IP address, browser and device type, pages visited, referring site and approximate location, collected by Wix through cookies and similar technologies (see section 9)

We don't intentionally collect special category data (such as health, religion or sexual orientation). Please don't include this kind of information in public posts.

3. Why we use it, and our lawful bases

Creating and running your account, and letting you post, join groups and use member features: Contract: providing the service you signed up for

Handling event registrations and sending event emails: Contract

Processing donations and keeping payment records: Contract, and legal obligation for tax and accounting records

Replying to messages sent through forms or by email: Legitimate interests: answering your enquiry

Moderating content, keeping the community safe, and preventing spam and abuse: Legitimate interests

Essential cookies needed for the site to work: Legitimate interests (strictly necessary cookies don't need consent under PECR)

Analytics and other non-essential cookies: Consent, given through the cookie banner

Optional newsletters or updates, only if you opt in: Consent

4. Who we share it with

We don't sell your data. We only share it where needed:

• Wix.com Ltd and its group companies host the site and provide member accounts, events, forms, groups, donations and analytics on our behalf, as our processor.

• Payment providers: donations are processed securely through Wix Payments and its payment partners (for example card processors, or PayPal where offered). They may also act as independent controllers for fraud prevention and legal compliance.

• Other members can see what you post publicly, such as your profile, garden, posts and comments, depending on your privacy settings and the visibility of each group.

• Authorities, where the law requires it or to protect someone's safety.

5. International transfers

Wix.com Ltd is based in Israel, and some Wix service providers are in the USA and other countries. The UK recognises Israel as providing adequate data protection (an adequacy decision). For other countries, Wix relies on appropriate safeguards such as the UK International Data Transfer Addendum, Standard Contractual Clauses or the UK–US Data Bridge. 6. How long we keep it

• Accounts, profiles and member content: kept while your account is active, and deleted within 30 days of an account deletion request. You can delete individual posts at any time, and we may remove content during moderation.

• Donation and payment records: kept for up to 6 years for tax and accounting purposes.

• Analytics data: kept in line with Wix's retention settings.

• Other information (such as event registrations and contact messages) is kept only for as long as we need it for the purpose it was collected for.

7. Your rights

Under UK GDPR you have the right to:

• Access: get a copy of your data

• Rectification: have inaccurate data corrected

• Erasure: have your data deleted

• Restriction: limit how we use your data

• Objection: object to processing based on legitimate interests

• Portability: receive the data you gave us in a reusable format

• Withdraw consent at any time, for example by changing your cookie settings or unsubscribing. This doesn't affect anything done before you withdrew.

You can edit most of your profile yourself. For anything else, email admin@wafiugarden.com. We'll reply within one month, and there's usually no charge.

8. Complaints

If you're unhappy with how we've handled your data, please contact us first so we can try to put it right. You also have the right to complain to the UK regulator, the Information Commissioner's Office (ICO): https://ico.org.uk/make-a-complaint/ or 0303 123 1113.

9. Cookies

Wix sets essential cookies to run the site, for example for security, logging in and load balancing. With your consent, it also sets analytics and other non-essential cookies. When you first visit, the cookie banner lets you accept all, reject all or choose categories. Non-essential cookies aren't set until you agree. 10. Children

Wafiugarden is for people aged 13 and over. If we learn that someone under 13 has created an account, we'll delete it.

11. Changes to this policy

We may update this policy from time to time. We'll change the "last updated" date above, and if the changes are significant we'll let members know by email or with a notice on the site.
